Purpose of the Role

BCA, part of the Mpac Group located in beautiful Newburyport Massachusetts. Boston Conveyor and Automation (BCA) has brought together a very experienced and successful team to focus on the automation process in the food manufacturing, life science and general manufacturing industries.

Due to rapid growth, BCA is seeking a motivated Project Administrator with strong leadership skills to join our team.  To qualify for this position an individual must be capable of meeting the requirements below and have applicable experience with Original Equipment and Automation Integration.  This position reports to the Senior Project Manager.

Key Accountabilities / Responsibilities

Project Planning & Administration

  • Support the development and maintenance of project plans, schedules, and milestone tracking.
  • Maintain accurate project documentation, including scope documents, risk registers, and change logs.
  • Assist in tracking project deliverables and deadlines to ensure adherence to agreed timelines.
  • Coordinate internal meetings and ensure actions are documented and followed up.

Financial & Commercial Support

  • Assist in tracking project budgets, cost commitments, and purchase orders.
  • Support preparation of project financial reports and forecasts.
  • Ensure accurate record keeping supporting invoicing and revenue recognition.

Risk & Change Control

  • Maintain back-end structure of project risk registers and action trackers.
  • Support the formal change management process by ensuring all variations are documented and approved.

Cross-Functional Coordination

  • Act as liaison between Engineering, Supply Chain, Operations, and Project Management to determine process needs.
  • Assist with gate documentation, material tracking and readiness for build and installation phases.
  • Ensure smooth internal handovers between project phases and across departments.

Reporting & Governance

  • Prepare regular project status reports for internal stakeholders.
  • Maintain KPI dashboards and project performance data.
  • Ensure documentation is stored and controlled in line with company standards.
  • Support audit readiness and compliance requirements.

Key Responsibilities

  • Provide structured coordination support across multiple automation and capital equipment projects.
  • Maintain accurate project schedules, documentation, and reporting/communication tools.
  • Track financial data and support budget monitoring processes.
  • Support change control and prevent undocumented scope deviation.
  • Escalate risks, delays, or documentation gaps to the Project Manager.
  • Ensure governance processes and project templates are consistently applied.

Technical Skills & Qualifications

To qualify for this position, candidates should have the following skills and abilities: Degree or diploma in Business, Engineering, Project Management, or related discipline desirable.

  • Minimum of 2 years of experience
  • Strong communication skills
  • Experience in project coordination, project administration, or engineering support roles.
  • Exposure to manufacturing, automation, machinery, or capital equipment environments preferred.
  • Understanding of project lifecycle from order intake through installation and handover.
  • Experience supporting financial tracking and reporting within projects.
  • Familiarity with structured project governance processes.
  • Proficiency in project planning tools (e.g., MS Project) and Microsoft Office.
  • Strong organizational and document control capability.
  • Ability to interpret technical documentation at a working level.
  • High attention to detail and structured working approach
  • Ability to work individually and as part of a team
  • Demonstrated ability to work well under pressure and with deadlines

Knowledge and Experience

Essential 

  • Enter and modify project budgets in the ERP system.
  • Create and close projects in the ERP system.
  • Make corrections to postings in the ERP system.
  • Make changes from MS Project files
  • Strong understanding of safety standards

Desirable

  • OEM Original Equipment Manufacturing
  • Visual Manufacturing ERP
